Policies and Procedures for Student Organizations
Organization Registration of Events
All events that are conducted by a student organization MUST be registered with the Dean of Students Office two weeks prior to the event. Events must be registered regardless if they occur on-campus or off-campus. To register an event with the Dean of Students Office please go the Event Management Systems page.
Through the Event Management Systems page (EMS), an organization may also reserve a space in the Student Union. To reserve a space not in the Student Union (example Moody 103) an organization representative must reserve the space with that building coordinator before registering the event in EMS.
Organizations must be certified with the Dean of Students Office as an active organization in order to conduct any official organization business. Please refer to the Organization Certification tab for more details.
University Policies for Organizations
All organizations must follow the UL Lafayette Alcohol and Drug Policy and Anti Hazing Policy.
Any student organization having an event that has alcohol at the function must follow the UL Lafayette Rules Governing Events with Alcohol (updated Oct 2009).
Third Party Vendor Contract - - use this form when using any 3rd party vendor. This form must be turned in to the Dean of Students Office before final approval on EMS will occur.
University Police Contract - this form must be turned in to University Police. UP will determine if police are necessary for an on-campus event. Your organization will be notified by UP if your organization has to have police at your event.

Anytime the UL Lafayette Logo is used on t-shirts or on paper it must be used correctly. Please review the guidelines for printing with the University logo. Anything printed with the University logo must be approved by the Dean of Students Office and Office of Communications. Please bring artwork for approval to 211 Martin Hall.
